The role
We are looking for a capable and well-organised Administration & Marketing Assistant to support our small, international team from our Bayswater office.
This is a practical, hands-on role suited to someone who enjoys variety, takes initiative and is comfortable working independently. The role is expected to involve 3 - 5 agreed weekdays per week, with hours of approximately 9.00 am to 3.00 pm, with some flexibility for occasional events or meetings.
You will provide administrative, document and marketing support across the business, with responsibilities including:
Administration and Office Support
- Providing general administrative support to directors, engineers and subconsultants
- Maintaining client, supplier, industry and marketing databases
- Organising electronic records and filing receipts, invoices and other business documents
- Assisting with meetings, employee onboarding, travel bookings and general office coordination
- Ordering office supplies, equipment and subscriptions, and liaising with suppliers
- Assisting with straightforward day-to-day IT issues and liaising with external IT providers where required
Documents and Microsoft Office
- Formatting reports, proposals, letters and procedures in Microsoft Word
- Maintaining and updating Microsoft Word templates and managing complex document formatting and layouts
- Preparing and updating PowerPoint presentations
- Maintaining Excel registers, contact lists and spreadsheets
- Proofreading documents and ensuring professional and consistent presentation
Marketing and Events
- Supporting the development and implementation of the company’s marketing plan
- Developing and maintaining a practical marketing content calendar
- Preparing, scheduling and publishing approved content across LinkedIn, Instagram and the company website
- Following up planned marketing activities to help ensure content is prepared and published on schedule
- Coordinating brochures, capability statements and other promotional materials
- Assisting with conferences, training sessions and company events
- Maintaining marketing, conference and industry event calendars

What you will bring
Ideally you will have:
- Relevant experience in administration, office support, marketing coordination or a similar role
- Advanced Microsoft Word skills, including experience with templates and complex document formatting
- Strong working knowledge of Microsoft PowerPoint and Excel
- Excellent written and verbal English communication skills
- Strong organisational and time-management skills
- A proactive, practical and reliable approach to your work
Experience in an engineering, consulting or professional services environment would be advantageous but is not essential.
Experience with databases, email marketing, website and social media content, event coordination or basic IT administration would also be beneficial. Additional language skills are welcome.
Working arrangements
- Part-time, generally 9.00 am to 3.00 pm on agreed 3 - 5 weekdays
- Primarily office-based in Bayswater, Western Australia
- Some flexibility may occasionally be required for events or important meetings
- Salary will be commensurate with experience and paid pro rata based on agreed working hours
